W Owlix przywiązujemy dużą wagę do prywatności osób, które korzystają z naszej aplikacji. W tym dokumencie tłumaczymy prostym językiem: jakie dane zbieramy, po co, komu je przekazujemy, jak długo je trzymamy i co możesz z tym zrobić.

- Zbieramy dane, które są nam potrzebne, żeby aplikacja działała: dane Twojego konta i firmy oraz dokumenty, które w niej prowadzisz.
- Nie sprzedajemy Twoich danych.
- Twoje konto i dokumenty przechowujemy w Unii Europejskiej.
- Twoje dokumenty widzi Twój księgowy tylko wtedy, gdy sam mu na to pozwolisz – i możesz mu ten dostęp odebrać w każdej chwili.
- Jeśli korzystasz z faktoringu, część danych trafia do firmy finansującej, która ocenia wniosek. Bez tego faktoring nie jest możliwy.

3. Nasze role: kiedy jesteśmy administratorem, a kiedy tylko przechowujemy Twoje dane
To rozróżnienie jest ważne, bo Owlix przetwarza dwa różne rodzaje danych.
Jako administrator odpowiadamy za dane Twojego konta i naszej współpracy z Tobą: dane rejestracyjne i kontaktowe, dane firmy, rozliczenia subskrypcji, korespondencję, bezpieczeństwo i zapobieganie nadużyciom oraz naszą własną komunikację marketingową. O tym, po co i jak je przetwarzamy, decydujemy my – i to opisuje ta polityka.
Jako podmiot przetwarzający obsługujemy treść Twojej administracji: faktury, koszty, kilometrówkę, wyciągi bankowe, załączniki i dane Twoich kontrahentów, które sam wprowadzasz. Tych danych używamy wyłącznie po to, żeby wykonać usługę dla Ciebie – to Ty jesteś ich administratorem, bo to Twoja dokumentacja firmowa. Zasady tego powierzenia określa umowa powierzenia przetwarzania danych, która stanowi część naszych ogólnych warunków.
Ważne, jeśli wpisujesz do aplikacji dane swoich klientów i kontrahentów: odpowiadasz za to, że masz podstawę, by je przetwarzać, i za poinformowanie tych osób, jeśli tego wymagają przepisy. My przetwarzamy je tylko na Twoje polecenie.
4. Jakie dane przetwarzamy
Dane, które podajesz przy zakładaniu konta i w ustawieniach:
imię i nazwisko, adres e-mail, hasło (przechowywane w postaci zaszyfrowanej), numer telefonu, nazwa firmy i forma działalności, numer KvK, numer VAT/BTW, adres firmy, dane do faktury, logo.
Treść Twojej administracji w aplikacji:
faktury sprzedażowe i kosztowe wraz z załącznikami i zdjęciami dokumentów, dane Twoich klientów i kontrahentów (nazwa, adres, numery rejestrowe, dane kontaktowe), wpisy kilometrówki i dane pojazdów, wyciągi bankowe, projekty, karty czasu pracy, raporty księgowe.
Dane rozliczeniowe:
wybrany plan, historia płatności i faktur za subskrypcję, numer rachunku bankowego, dane potrzebne do obsługi płatności (sama płatność jest realizowana przez naszego dostawcę – nie przechowujemy pełnych danych karty).
Dane związane z korzystaniem z aplikacji:
data rejestracji i logowań, wykonywane działania, adres IP, informacje o urządzeniu i przeglądarce, logi techniczne oraz logi dostępu (w tym zapis, kto i kiedy zaglądał do Twoich dokumentów – także wtedy, gdy robi to Twoje biuro rachunkowe).
Dane z kontaktu z nami:
korespondencja e-mail i zgłoszenia do wsparcia wraz z załącznikami oraz notatki z rozmów.
Czego nie zbieramy: nie prosimy o szczególne kategorie danych, takie jak informacje o zdrowiu, pochodzeniu czy poglądach politycznych. Jeśli takie informacje przypadkiem znajdą się w dokumencie, który wgrasz, przetwarzamy je wyłącznie jako część Twojej dokumentacji – nie analizujemy ich i nie wykorzystujemy do żadnych innych celów.
5. Skąd mamy Twoje dane
- Od Ciebie – przy rejestracji, w ustawieniach i podczas korzystania z aplikacji.
- Z rejestru KvK – gdy korzystasz z wyszukiwarki firm przy zakładaniu konta lub dodawaniu klienta, pobieramy dane firmy z holenderskiego rejestru handlowego.
- Od Twojego biura rachunkowego – jeśli to biuro założyło Ci konto albo zaprosiło Cię do aplikacji.
- Od podmiotów powiązanych z Owlix – jeśli zostawiłeś swoje dane na stronie firmy z naszej grupy i zgodziłeś się na kontakt.
- Automatycznie – dane techniczne opisane wyżej, gdy korzystasz ze strony lub aplikacji.
6. Po co przetwarzamy dane i na jakiej podstawie

7. Twój księgowy i biuro rachunkowe
Owlix pozwala połączyć Twoje konto z księgowym lub biurem rachunkowym. Taki dostęp powstaje wyłącznie z Twojej inicjatywy albo za Twoją zgodą – gdy zaprosisz biuro w aplikacji albo przyjmiesz jego zaproszenie.
Zakres dostępu ustalasz sam w ustawieniach. W zależności od tego, co włączysz, biuro może:
- przeglądać Twoje dokumenty (faktury, koszty, kilometrówkę, raporty),
- poprawiać i edytować dokumenty,
- wystawiać dokumenty w Twoim imieniu.
Automatyczna wysyłka dokumentów. Twoje biuro (w granicach nadanych uprawnień) może włączyć opcję, w której każdy nowy dokument jest automatycznie wysyłany na wskazane adresy e-mail – osobno faktury sprzedażowe, osobno koszty. Może to być skrzynka biura albo adres programu, w którym biuro przetwarza dokumenty. Dokumenty trafiają wyłącznie na adresy ustawione przez Twoje biuro. Wysyłkę może w każdej chwili wyłączyć biuro; Ty możesz doprowadzić do jej zaprzestania, zwracając się do biura albo rozłączając z nim swoje konto.
Możesz cofnąć dostęp w każdej chwili – w tym całkowicie rozłączyć konto z biurem. Cofnięcie działa na przyszłość: biuro traci wgląd w Twoje konto. Dokumenty, które wcześniej otrzymało, zostają u niego – biuro przetwarza je wtedy jako niezależny administrator, na własną odpowiedzialność i zgodnie ze swoimi obowiązkami, w tym obowiązkiem przechowywania dokumentacji. W sprawach danych, które są u biura, zwracaj się bezpośrednio do niego.
8. Faktoring
Jeśli poprosisz o faktoring, czyli o wcześniejszą wypłatę pieniędzy z wystawionej faktury, współpracujemy z firmą finansującą Freelance Factoring (freelancefactoring.com – tam znajdziesz jej politykę prywatności).
Co się dzieje z danymi. Po złożeniu wniosku przekazujemy partnerowi dane potrzebne do jego rozpatrzenia: Twoje dane identyfikacyjne i firmowe (w tym numer KvK, numer VAT/BTW i numer rachunku bankowego), treść faktury, której dotyczy wniosek, dokumenty potwierdzające zlecenie (np. umowę ze zleceniodawcą i kartę czasu pracy) oraz dane Twojego zleceniodawcy wskazanego na fakturze.
Dlaczego dane zleceniodawcy. Wypłata zależy od oceny nie tylko Twojej firmy, ale też firmy, która ma zapłacić fakturę. Partner sprawdza obie strony i po wypłacie sam pilnuje zapłaty u Twojego zleceniodawcy – będzie się więc z nim kontaktował. Zanim złożysz wniosek, upewnij się, że możesz przekazać nam dane tego kontrahenta w tym celu.
Kto podejmuje decyzję. Decyzję o wypłacie podejmuje Freelance Factoring, według własnych kryteriów, i w tym zakresie jest niezależnym administratorem Twoich danych – obowiązuje jego własna polityka prywatności, a prawa dotyczące danych przetwarzanych po jego stronie realizujesz bezpośrednio u niego. Owlix nie gwarantuje pozytywnego rozpatrzenia wniosku. Partner może mieć też własne obowiązki wynikające z przepisów o przeciwdziałaniu praniu pieniędzy i finansowaniu terroryzmu.
Jak długo. Dane związane z wnioskami i wypłatami przechowujemy przez okres wymagany przepisami podatkowymi i rachunkowymi (7 lat), również wtedy, gdy wniosek został odrzucony.
Jeśli nie korzystasz z faktoringu, żadne z tych danych nie są przekazywane partnerowi.
9. Rozpoznawanie danych z dokumentów
Przy dodawaniu kosztu możesz wgrać zdjęcie lub plik faktury i skorzystać z automatycznego odczytania z niego danych (kwoty, daty, sprzedawcy). W tym celu obraz dokumentu jest przekazywany do usługi Google Vertex AI, która przetwarza go na naszą rzecz na podstawie umowy powierzenia. Przetwarzanie odbywa się w Unii Europejskiej.
Trzy rzeczy, które warto wiedzieć:
- Odczytane dane są tylko propozycją – to Ty je sprawdzasz i zatwierdzasz. Nie podejmujemy na tej podstawie żadnych decyzji o Tobie.
- Twoje dokumenty nie są wykorzystywane do uczenia modeli naszego dostawcy.
- Funkcję możesz wyłączyć przy dodawaniu kosztu – wtedy dane wpisujesz ręcznie, a dokument nie jest przekazywany do rozpoznania.
10. Program poleceń
Jeśli polecisz Owlix znajomemu swoim linkiem lub kodem, rejestrację tej osoby łączymy z Twoim kontem – inaczej nie moglibyśmy naliczyć Ci nagrody. W panelu widzisz listę swoich poleceń i ich status, w ograniczonym zakresie potrzebnym do rozliczenia. Osoba, którą polecasz, zakłada konto na własnych warunkach i sama decyduje o swoich danych.
11. Komu przekazujemy dane
Nie sprzedajemy danych osobowych. Przekazujemy je wyłącznie:
- Twojemu księgowemu lub biuru rachunkowemu – na zasadach z sekcji 7.
- Freelance Factoring – tylko jeśli korzystasz z faktoringu (sekcja 8).
- Dostawcom, którzy działają na nasze zlecenie i są związani umowami powierzenia: hosting i infrastruktura (Amazon Web Services, region Frankfurt), obsługa płatności (Mollie), wysyłka wiadomości e-mail z systemu, narzędzie do wysyłki newsletterów, usługa rozpoznawania danych z dokumentów (sekcja 9), pośrednik integracji z programami księgowymi (Maesn GmbH, Niemcy – infrastruktura Microsoft Azure w Unii Europejskiej; tylko gdy Twoje biuro włączy przekazywanie dokumentów do swojego programu księgowego), narzędzia analityczne (sekcja 14).
- Organom publicznym – gdy wymagają tego przepisy.
- Doradcom (np. prawnym lub księgowym) – gdy jest to niezbędne, w granicach tajemnicy zawodowej.
Gdzie są Twoje dane. Dane Twojego konta, dokumenty i cała treść Twojej administracji przechowywane są w Unii Europejskiej (serwery we Frankfurcie), a rozpoznawanie danych z dokumentów również odbywa się w UE. Poza Europejski Obszar Gospodarczy mogą trafiać wyłącznie dane związane z narzędziami analitycznymi i marketingowymi opisanymi w sekcji 14 – w takich przypadkach opieramy się na zabezpieczeniach przewidzianych w przepisach (standardowych klauzulach umownych zatwierdzonych przez Komisję Europejską lub decyzji o odpowiednim stopniu ochrony). Możesz poprosić nas o informację, jakie zabezpieczenia stosujemy u konkretnego dostawcy.

Pamiętaj o własnym obowiązku: jako przedsiębiorca masz obowiązek przechowywać swoją dokumentację przez 7 lat (10 lat, jeśli dotyczy nieruchomości). Dlatego przed usunięciem konta umożliwiamy pobranie dokumentów – zadbaj o ich kopię, zanim poprosisz o usunięcie danych.
13. Bezpieczeństwo
Chronimy dane środkami technicznymi i organizacyjnymi. Najważniejsze z nich:
- połączenie ze stroną i aplikacją jest szyfrowane (HTTPS/TLS);
- dane przechowujemy w infrastrukturze Amazon Web Services w regionie Frankfurt, w środowisku niedostępnym publicznie, z zaporą aplikacyjną i oddzielonymi środowiskami testowym i produkcyjnym;
- hasła przechowujemy wyłącznie w postaci zaszyfrowanej (nie znamy Twojego hasła);
- wykonujemy regularne, automatyczne kopie zapasowe bazy danych;
- dostęp pracowników i współpracowników jest ograniczony do niezbędnego minimum, przydzielany imiennie i objęty zobowiązaniem do zachowania poufności;
- urządzenia używane do pracy z danymi są aktualizowane i zabezpieczone;
- z każdym dostawcą, który ma styczność z danymi, zawieramy umowę powierzenia przetwarzania.
Jeśli podejrzewasz, że Twoje dane nie są odpowiednio chronione albo że doszło do nadużycia – napisz na info@owlix.com. Traktujemy takie zgłoszenia priorytetowo.
14. Cookies i podobne technologie
Cookies to małe pliki zapisywane na Twoim urządzeniu. Używamy trzech rodzajów:
- niezbędne – bez nich strona i aplikacja nie działają (logowanie, bezpieczeństwo, zapamiętanie ustawień); nie wymagają zgody;
- analityczne – pokazują nam, jak korzystasz ze strony, żebyśmy mogli ją poprawiać;
- marketingowe i personalizacyjne – pozwalają dopasować treści i reklamy oraz zmierzyć ich skuteczność.
Cookies analityczne i marketingowe umieszczamy dopiero po Twojej zgodzie, wyrażonej w ustawieniach cookies. Zgodę możesz w każdej chwili zmienić lub wycofać: ustawienia cookies. Cookies możesz też usunąć lub zablokować w ustawieniach przeglądarki.
Korzystamy z narzędzi: Google Analytics, Google Tag Manager, Google Ads, Meta (Facebook) Pixel i Custom Audiences, Hotjar. Część z nich rejestruje zdarzenia także w aplikacji (na przykład fakt założenia konta), co pozwala nam mierzyć skuteczność działań marketingowych. Narzędzia te mogą przetwarzać adres IP i identyfikatory urządzenia oraz przekazywać dane poza EOG – szczegóły w sekcji 11.
15. Zautomatyzowane decyzje
Owlix nie podejmuje wobec Ciebie decyzji wyłącznie w sposób zautomatyzowany, które wywoływałyby skutki prawne lub w podobny sposób istotnie na Ciebie wpływały. Funkcje automatyczne w aplikacji (na przykład rozpoznawanie danych z dokumentów czy wyliczenia podatkowe) mają charakter pomocniczy – zawsze sprawdzasz i zatwierdzasz wynik.
Wyjątek dotyczy faktoringu: decyzję o wypłacie podejmuje Freelance Factoring według własnych kryteriów i może przy tym korzystać z automatycznej oceny ryzyka. Informacje o tym oraz swoje prawa w tym zakresie uzyskasz bezpośrednio u partnera (sekcja 8).
16. Twoje prawa
W każdej chwili możesz:
- zobaczyć swoje dane i otrzymać ich kopię,
- poprawić dane nieprawidłowe lub niekompletne,
- usunąć dane – o ile nie musimy ich zachować z powodu obowiązujących przepisów lub trwającej umowy,
- ograniczyć przetwarzanie,
- przenieść dane – otrzymać je w powszechnie używanym formacie albo poprosić o przesłanie ich innej firmie,
- sprzeciwić się przetwarzaniu opartemu na naszym uzasadnionym interesie, w tym marketingowi,
- wycofać zgodę, jeśli przetwarzanie odbywa się na jej podstawie.
Wniosek wyślij na info@owlix.com. Odpowiadamy w ciągu miesiąca; przy skomplikowanych sprawach możemy przedłużyć ten termin o kolejne dwa miesiące – wtedy poinformujemy Cię o tym w ciągu pierwszego miesiąca.
Żeby mieć pewność, że wniosek pochodzi od Ciebie, weryfikujemy zwykle adres e-mail przypisany do konta. Tylko jeśli mamy uzasadnione wątpliwości co do tożsamości, poprosimy o dodatkowe potwierdzenie. Jeśli miałbyś przesyłać kopię dokumentu tożsamości, zasłoń zdjęcie, numer dokumentu, numer BSN oraz pasek z numerami na dole dokumentu.
Skarga. Jeśli uważasz, że przetwarzamy Twoje dane niezgodnie z prawem, możesz złożyć skargę do holenderskiego organu ochrony danych – Autoriteit Persoonsgegevens: https://autoriteitpersoonsgegevens.nl/nl/contact-met-de-autoriteit-persoonsgegevens/tip-ons. Będziemy wdzięczni, jeśli najpierw dasz znać nam – najczęściej da się to wyjaśnić od ręki.
17. Osoby niepełnoletnie
Owlix jest usługą dla osób prowadzących działalność gospodarczą i nie jest skierowany do dzieci. Nie przetwarzamy świadomie danych osób poniżej 16. roku życia bez zgody rodzica lub opiekuna. Jeśli uważasz, że mimo to takie dane znalazły się w naszym systemie, napisz na info@owlix.com – usuniemy je.
18. Zmiany polityki
Możemy aktualizować tę politykę, na przykład gdy zmienia się aplikacja albo przepisy. O istotnych zmianach poinformujemy Cię z wyprzedzeniem – w aplikacji lub e-mailem. Na tej stronie zawsze znajdziesz aktualną wersję wraz z datą obowiązywania.

Deze verklaring geldt voor onze website, de Owlix-applicatie (in de browser en op de telefoon) en het portaal voor administratiekantoren.
2. In het kort
- We verzamelen de gegevens die nodig zijn om de applicatie te laten werken: uw account- en bedrijfsgegevens en de documenten die u erin bijhoudt.
- Wij verkopen uw gegevens niet.
- Uw account en documenten bewaren wij binnen de Europese Unie.
- Uw boekhouder ziet uw documenten alleen als u daar zelf toestemming voor geeft – en u kunt die toegang op elk moment intrekken.
- Als u gebruikmaakt van factoring, gaan bepaalde gegevens naar de financieringspartij die de aanvraag beoordeelt. Zonder dat is factoring niet mogelijk.
- U kunt altijd uw gegevens inzien, corrigeren, meenemen of laten verwijderen.
3. Onze rollen: wanneer verantwoordelijke, wanneer verwerker
Owlix verwerkt twee verschillende soorten gegevens.
Als verwerkingsverantwoordelijke zijn wij verantwoordelijk voor de gegevens van uw account en onze samenwerking: registratie- en contactgegevens, bedrijfsgegevens, abonnementsadministratie, correspondentie, beveiliging en fraudepreventie en onze eigen marketingcommunicatie. Over het doel en de middelen daarvan beslissen wij – dat beschrijft deze verklaring.
Als verwerker behandelen wij de inhoud van uw administratie: facturen, kosten, kilometerregistratie, bankafschriften, bijlagen en de gegevens van uw relaties die u zelf invoert. Die gebruiken wij uitsluitend om de dienst voor u uit te voeren – u bent daarvan de verwerkingsverantwoordelijke, want het is uw bedrijfsadministratie. De voorwaarden daarvan staan in de verwerkersovereenkomst die deel uitmaakt van onze algemene voorwaarden.
Belangrijk als u gegevens van uw klanten en relaties invoert: u bent er verantwoordelijk voor dat u een grondslag heeft om die gegevens te verwerken en dat u deze personen informeert waar de wet dat vereist. Wij verwerken ze uitsluitend in uw opdracht.
4. Welke gegevens wij verwerken
Gegevens die u opgeeft bij registratie en in de instellingen:
naam, e-mailadres, wachtwoord (versleuteld opgeslagen), telefoonnummer, bedrijfsnaam en rechtsvorm, KvK-nummer, btw-nummer, bedrijfsadres, factuurgegevens, logo.
De inhoud van uw administratie:
verkoop- en kostenfacturen met bijlagen en foto’s van documenten, gegevens van uw klanten en relaties (naam, adres, registratienummers, contactgegevens), kilometerregistratie en voertuiggegevens, bankafschriften, projecten, urenregistratie, boekhoudrapportages.
Facturatiegegevens:
gekozen abonnement, betaal- en factuurhistorie, bankrekeningnummer en gegevens die nodig zijn voor de betaalafhandeling (de betaling zelf verloopt via onze betaaldienstverlener – wij bewaren geen volledige kaartgegevens).
Gebruiksgegevens:
registratie- en inlogmomenten, uitgevoerde handelingen, IP-adres, apparaat- en browserinformatie, technische logs en toegangslogs (waaronder wie wanneer uw documenten heeft ingezien – ook wanneer uw administratiekantoor dat doet).
Gegevens uit contact met ons:
e-mailcorrespondentie en supportmeldingen met bijlagen en gespreksnotities.
Wat wij niet verzamelen: wij vragen niet om bijzondere categorieën persoonsgegevens, zoals gegevens over gezondheid, afkomst of politieke voorkeur. Belanden zulke gegevens toch in een document dat u uploadt, dan verwerken wij ze uitsluitend als onderdeel van uw administratie – we analyseren of gebruiken ze niet voor andere doeleinden.
5. Waar wij uw gegevens vandaan halen
- Van uzelf – bij registratie, in de instellingen en tijdens het gebruik van de applicatie.
- Uit het KvK-register – wanneer u de bedrijvenzoeker gebruikt bij het aanmaken van uw bedrijf of het toevoegen van een klant.
- Van uw administratiekantoor – als het kantoor uw account heeft aangemaakt of u heeft uitgenodigd.
- Van aan Owlix gelieerde ondernemingen – als u uw gegevens bij een van deze bedrijven heeft achtergelaten en toestemming voor contact heeft gegeven.
- Automatisch – de hierboven genoemde technische gegevens bij gebruik van de website of applicatie.

U kunt toestemming altijd intrekken – dat raakt niet de rechtmatigheid van de verwerking daarvóór.
7. Uw boekhouder en administratiekantoor
Owlix maakt het mogelijk uw account te koppelen aan een boekhouder of administratiekantoor. Die toegang ontstaat uitsluitend op uw initiatief of met uw toestemming – doordat u het kantoor uitnodigt of een uitnodiging accepteert.
De omvang van de toegang bepaalt u zelf. Afhankelijk van wat u inschakelt, kan het kantoor:
- uw documenten inzien (facturen, kosten, kilometerregistratie, rapportages),
- documenten corrigeren en bewerken,
- documenten namens u opstellen.
Automatische verzending van documenten. Uw kantoor (binnen de verleende rechten) kan instellen dat elk nieuw document automatisch naar opgegeven e-mailadressen wordt verzonden – apart voor verkoopfacturen en voor kosten. Dat kan de mailbox van het kantoor zijn of het adres van het programma waarin het kantoor documenten verwerkt. Documenten gaan uitsluitend naar de door uw kantoor ingestelde adressen. De verzending kan op elk moment door het kantoor worden uitgeschakeld; u kunt de verzending doen beëindigen door zich tot uw kantoor te wenden of door uw account van het kantoor los te koppelen.
U kunt de toegang op elk moment intrekken, inclusief het volledig loskoppelen van uw account. Intrekken werkt voor de toekomst: het kantoor verliest de toegang tot uw account. Documenten die het kantoor eerder heeft ontvangen, blijven daar – het kantoor verwerkt die dan als zelfstandige verwerkingsverantwoordelijke, op eigen verantwoordelijkheid en conform zijn eigen verplichtingen, waaronder bewaarplichten. Voor gegevens die bij het kantoor berusten, kunt u zich rechtstreeks tot het kantoor wenden.
8. Factoring
Als u factoring aanvraagt – het eerder uitbetaald krijgen van een verzonden factuur – werken wij samen met de financieringspartij Freelance Factoring (freelancefactoring.com – daar vindt u hun privacyverklaring).
Wat er met gegevens gebeurt. Na uw aanvraag geven wij de partner de gegevens door die nodig zijn voor de beoordeling: uw identificatie- en bedrijfsgegevens (waaronder KvK-nummer, btw-nummer en bankrekeningnummer), de inhoud van de betreffende factuur, documenten die de opdracht onderbouwen (zoals de overeenkomst met de opdrachtgever en de urenregistratie) en de gegevens van de opdrachtgever die op de factuur staat.
Waarom ook gegevens van uw opdrachtgever. De uitbetaling hangt niet alleen af van de beoordeling van uw onderneming, maar ook van het bedrijf dat de factuur moet betalen. De partner beoordeelt beide partijen en bewaakt na uitbetaling zelf de betaling bij uw opdrachtgever – de partner neemt daarvoor contact met hem op. Ga vóór uw aanvraag na of u de gegevens van deze relatie voor dit doel mag verstrekken.
Wie beslist. De beslissing over uitbetaling neemt Freelance Factoring op basis van eigen criteria en is daarbij zelfstandig verwerkingsverantwoordelijke – de privacyverklaring van de partner is van toepassing en rechten met betrekking tot die verwerking oefent u rechtstreeks bij hem uit. Owlix garandeert geen positieve beoordeling. De partner kan daarnaast eigen verplichtingen hebben op grond van wetgeving ter voorkoming van witwassen en terrorismefinanciering.
Hoe lang. Gegevens rond aanvragen en uitbetalingen bewaren wij gedurende de fiscaal en boekhoudkundig vereiste termijn (7 jaar), ook wanneer een aanvraag is afgewezen.
Gebruikt u geen factoring, dan worden deze gegevens niet aan de partner verstrekt.
9. Herkenning van gegevens uit documenten
Bij het toevoegen van een kostenpost kunt u een foto of bestand van een factuur uploaden en de gegevens daaruit automatisch laten herkennen (bedragen, datum, leverancier). Daarvoor wordt de afbeelding van het document doorgestuurd naar Google Vertex AI, dat de gegevens in onze opdracht verwerkt op basis van een verwerkersovereenkomst. De verwerking vindt plaats binnen de Europese Unie.
Drie dingen die goed zijn om te weten:
- De herkende gegevens zijn slechts een voorstel – u controleert en bevestigt ze. Wij nemen op basis daarvan geen besluiten over u.
- Uw documenten worden niet gebruikt om modellen van onze leverancier te trainen.
- U kunt de functie uitschakelen bij het toevoegen van een kostenpost; u voert de gegevens dan handmatig in en het document wordt niet ter herkenning verzonden.
10. Aanbrengprogramma
Brengt u Owlix onder de aandacht via uw persoonlijke link of code, dan koppelen wij de registratie van die persoon aan uw account – anders kunnen wij uw vergoeding niet vaststellen. In het portaal ziet u uw aanbrengingen en de status daarvan, beperkt tot wat nodig is voor de afrekening. De aangebrachte persoon maakt een eigen account aan en beslist zelf over de eigen gegevens.
11. Met wie wij gegevens delen
Wij verkopen geen persoonsgegevens. Wij delen ze uitsluitend met:
- uw boekhouder of administratiekantoor – volgens paragraaf 7;
- Freelance Factoring – alleen als u factoring gebruikt (paragraaf 8);
- dienstverleners die in onze opdracht werken en gebonden zijn aan verwerkersovereenkomsten: hosting en infrastructuur (Amazon Web Services, regio Frankfurt), betaalafhandeling (Mollie), verzending van systeem-e-mails, nieuwsbrieftool, documentherkenning (paragraaf 9), integratiedienst voor koppelingen met boekhoudprogramma’s (Maesn GmbH, Duitsland – infrastructuur Microsoft Azure binnen de EU; alleen wanneer uw kantoor de doorgifte van documenten naar zijn boekhoudprogramma inschakelt), analysetools (paragraaf 14);
- overheidsinstanties – wanneer de wet dat vereist;
- adviseurs (bijvoorbeeld juridisch of fiscaal) – voor zover noodzakelijk en binnen hun beroepsgeheim.
Waar uw gegevens staan. Uw accountgegevens, documenten en de volledige inhoud van uw administratie bewaren wij binnen de Europese Unie (servers in Frankfurt); ook de documentherkenning vindt binnen de EU plaats. Buiten de Europese Economische Ruimte kunnen uitsluitend gegevens terechtkomen die samenhangen met de analyse- en marketingtools uit paragraaf 14 – daarbij steunen wij op de wettelijke waarborgen (door de Europese Commissie goedgekeurde standaardcontractbepalingen of een adequaatheidsbesluit). U kunt bij ons opvragen welke waarborgen bij een specifieke leverancier gelden.

Denk aan uw eigen verplichting: als ondernemer moet u uw administratie 7 jaar bewaren (10 jaar bij onroerend goed). Daarom bieden wij vóór verwijdering van het account de mogelijkheid uw documenten te exporteren – zorg voor een kopie voordat u om verwijdering vraagt.
13. Beveiliging
Wij beschermen gegevens met technische en organisatorische maatregelen. De belangrijkste:
- de verbinding met de website en applicatie is versleuteld (HTTPS/TLS);
- gegevens staan in de infrastructuur van Amazon Web Services in de regio Frankfurt, in een niet publiek toegankelijke omgeving, met een application firewall en gescheiden test- en productieomgevingen;
- wachtwoorden bewaren wij uitsluitend versleuteld (wij kennen uw wachtwoord niet);
- wij maken regelmatig automatische back-ups van de database;
- toegang van medewerkers is beperkt tot het noodzakelijke minimum, persoonsgebonden toegekend en gedekt door geheimhoudingsafspraken;
- apparatuur waarmee met gegevens wordt gewerkt, is bijgewerkt en beveiligd;
- met elke dienstverlener die met gegevens in aanraking komt, sluiten wij een verwerkersovereenkomst.
Vermoedt u dat uw gegevens niet goed beveiligd zijn of dat er sprake is van misbruik – laat het weten via info@owlix.com. Zulke meldingen behandelen wij met voorrang.
14. Cookies en vergelijkbare technieken
Cookies zijn kleine bestanden die op uw apparaat worden opgeslagen. Wij gebruiken drie soorten:
- noodzakelijke – zonder deze werken de website en applicatie niet (inloggen, beveiliging, onthouden van instellingen); hiervoor is geen toestemming nodig;
- analytische – laten zien hoe de website wordt gebruikt, zodat wij die kunnen verbeteren;
- marketing- en personalisatiecookies – maken het mogelijk content en advertenties af te stemmen en de effectiviteit te meten.
Analytische en marketingcookies plaatsen wij pas na uw toestemming via de cookie-instellingen. U kunt uw keuze op elk moment wijzigen of intrekken: cookie-instellingen. Cookies kunt u ook verwijderen of blokkeren via uw browserinstellingen.
Wij gebruiken de volgende tools: Google Analytics, Google Tag Manager, Google Ads, Meta (Facebook) Pixel en Custom Audiences, Hotjar. Sommige registreren ook gebeurtenissen in de applicatie (bijvoorbeeld het aanmaken van een account), waarmee wij de effectiviteit van onze marketing meten. Deze tools kunnen IP-adressen en apparaat-identificatoren verwerken en gegevens buiten de EER doorgeven – zie paragraaf 11.
15. Geautomatiseerde besluitvorming
Owlix neemt geen uitsluitend geautomatiseerde besluiten over u met rechtsgevolgen of vergelijkbare aanzienlijke gevolgen. Geautomatiseerde functies in de applicatie (zoals documentherkenning of fiscale berekeningen) zijn ondersteunend – u controleert en bevestigt het resultaat altijd zelf.
Een uitzondering is factoring: de beslissing over uitbetaling neemt Freelance Factoring op basis van eigen criteria en daarbij kan geautomatiseerde risicobeoordeling worden gebruikt. Informatie daarover en uw rechten in dat kader krijgt u rechtstreeks bij de partner (paragraaf 8).
16. Uw rechten
U kunt op elk moment:
- uw gegevens inzien en er een kopie van ontvangen,
- onjuiste of onvolledige gegevens laten corrigeren,
- gegevens laten verwijderen – voor zover wij ze niet wettelijk of vanwege een lopende overeenkomst moeten bewaren,
- de verwerking laten beperken,
- uw gegevens overdragen – in een gangbaar formaat ontvangen of naar een andere organisatie laten sturen,
- bezwaar maken tegen verwerking op basis van gerechtvaardigd belang, waaronder marketing,
- uw toestemming intrekken als de verwerking daarop is gebaseerd.
Stuur uw verzoek naar info@owlix.com. Wij reageren binnen één maand; bij complexe verzoeken kunnen wij die termijn met twee maanden verlengen – dat laten wij dan binnen de eerste maand weten.
Om zeker te weten dat het verzoek van u komt, verifiëren wij doorgaans het bij het account bekende e-mailadres. Alleen bij gerede twijfel over uw identiteit vragen wij om aanvullende bevestiging. Stuurt u een kopie van een identiteitsbewijs, maak dan de pasfoto, het documentnummer, het BSN en de MRZ (de strook met cijfers onderaan) onleesbaar.
Klacht. Vindt u dat wij uw gegevens onrechtmatig verwerken, dan kunt u een klacht indienen bij de Autoriteit Persoonsgegevens: https://autoriteitpersoonsgegevens.nl/nl/contact-met-de-autoriteit-persoonsgegevens/tip-ons. We stellen het op prijs als u het eerst bij ons meldt – meestal is het direct op te lossen.
17. Minderjarigen
Owlix is een dienst voor ondernemers en niet gericht op kinderen. Wij verwerken niet bewust gegevens van personen jonger dan 16 jaar zonder toestemming van een ouder of voogd. Heeft u aanwijzingen dat dit toch is gebeurd, mail dan naar info@owlix.com – dan verwijderen wij de gegevens.
18. Wijzigingen
Wij kunnen deze privacyverklaring aanpassen, bijvoorbeeld wanneer de applicatie of de wetgeving verandert. Over belangrijke wijzigingen informeren wij u vooraf – in de applicatie of per e-mail. Op deze pagina vindt u altijd de actuele versie met de ingangsdatum.

At Owlix we take the privacy of the people who use our application seriously. In this document we explain in plain language: what data we collect, why, who we share it with, how long we keep it and what you can do about it.
1. Who we are
The data controller is Owlix B.V.

This policy covers our website, the Owlix application (in the browser and on your phone) and the panel for accounting firms.
2. The short version
- We collect the data we need for the application to work: your account and company details and the documents you keep in it.
- We do not sell your data.
- Your account and documents are stored in the European Union.
- Your accountant sees your documents only if you allow it – and you can withdraw that access at any time.
- If you use factoring, some of your data goes to the financing company that assesses the application. Factoring is not possible without this.
- At any time you can view your data, correct it, download it or ask us to delete it.
3. Our roles: when we are the controller and when we only store your data
This distinction matters, because Owlix processes two different kinds of data.
As a controller we are responsible for your account data and for our relationship with you: registration and contact details, company details, subscription billing, correspondence, security and abuse prevention, and our own marketing communication. We decide why and how this data is processed – and that is what this policy describes.
As a processor we handle the content of your records: invoices, costs, mileage, bank statements, attachments and the data of your business partners that you enter yourself. We use this data solely to perform the service for you – you are the controller of it, because these are your company’s records. The terms of this arrangement are set out in the data processing agreement, which forms part of our general terms.
Important if you enter data about your clients and business partners into the application: you are responsible for having a legal basis to process it and for informing those people where the law requires it. We process it only on your instructions.
4. What data we process
Data you provide when creating an account and in settings:
first and last name, e-mail address, password (stored in encrypted form), telephone number, company name and legal form, Chamber of Commerce (KvK) number, VAT/BTW number, company address, invoicing details, logo.
The content of your records in the application:
sales and purchase invoices together with attachments and photographs of documents, data of your clients and business partners (name, address, registration numbers, contact details), mileage entries and vehicle data, bank statements, projects, timesheets, accounting reports.
Billing data:
the plan you chose, payment and subscription invoice history, bank account number, data needed to process payments (the payment itself is handled by our provider – we do not store full card details).
Data relating to your use of the application:
registration and login dates, actions performed, IP address, device and browser information, technical logs and access logs (including a record of who looked at your documents and when – also when this is your accounting firm).
Data from contact with us:
e-mail correspondence and support requests together with attachments, and notes from conversations.
What we do not collect: we do not ask for special categories of data such as information about health, origin or political opinions. If such information happens to appear in a document you upload, we process it solely as part of your records – we do not analyse it and do not use it for any other purpose.
5. Where we get your data
- From you – at registration, in settings and while you use the application.
- From the KvK register – when you use the company search while creating an account or adding a client, we retrieve company data from the Dutch commercial register.
- From your accounting firm – if the firm created your account or invited you to the application.
- From companies affiliated with Owlix – if you left your details on the website of a company in our group and agreed to be contacted.
- Automatically – the technical data described above, when you use the website or the application.

You can withdraw your consent at any time – this does not affect what we lawfully did beforehand.
7. Your accountant and accounting firm
Owlix lets you connect your account with an accountant or an accounting firm. Such access can only arise on your initiative or with your consent – when you invite the firm in the application or accept its invitation.
You decide the scope of access yourself in settings. Depending on what you enable, the firm can:
- view your documents (invoices, costs, mileage, reports),
- correct and edit documents,
- issue documents on your behalf.
Automatic sending of documents. Your accounting firm (within the permissions granted to it) can switch on an option in which every new document is automatically sent to specified e-mail addresses – sales invoices and costs separately. This may be the firm’s mailbox or the address of the software in which the firm processes documents. Documents are sent only to the addresses set by your accounting firm. The sending can be switched off at any time by the firm; you can have it stopped by asking your firm or by disconnecting your account from it.
You can withdraw access at any time – including disconnecting your account from the firm entirely. Withdrawal takes effect for the future: the firm loses visibility of your account. Documents it received earlier remain with the firm – it then processes them as an independent controller, on its own responsibility and in line with its own obligations, including its record-retention obligation. For matters concerning data held by the firm, contact the firm directly.
8. Factoring
If you request factoring – that is, early payment of an invoice you have issued – we work with the financing company Freelance Factoring (freelancefactoring.com, where you will find its privacy policy).
What happens with the data. Once you submit an application, we pass to the partner the data needed to assess it: your identification and company data (including your KvK number, VAT/BTW number and bank account number), the content of the invoice the application concerns, documents confirming the assignment (for example the contract with your principal and a timesheet) and the data of the principal named on the invoice.
Why the principal’s data. Payment depends on an assessment not only of your company, but also of the company that is to pay the invoice. The partner checks both sides and, after paying out, pursues payment from your principal itself – so it will be in contact with them. Before you submit an application, make sure you are entitled to pass on that business partner’s data for this purpose.
Who takes the decision. The decision to pay out is taken by Freelance Factoring according to its own criteria, and in that respect it is an independent controller of your data – its own privacy policy applies, and you exercise your rights regarding data processed on its side directly with the partner. Owlix does not guarantee that an application will be approved. The partner may also have its own obligations under anti-money-laundering and counter-terrorist-financing legislation.
For how long. Data relating to applications and pay-outs is kept for the period required by tax and accounting legislation (7 years), including where an application was rejected.
If you do not use factoring, none of this data is passed to the partner.
9. Recognising data from documents
When adding a cost you can upload a photograph or a file of an invoice and use automatic recognition of the data in it (amounts, dates, supplier). For this purpose the image of the document is passed to the Google Vertex AI service, which processes it on our behalf under a data processing agreement. The processing takes place in the European Union.
Three things worth knowing:
- The recognised data is only a suggestion – you check and confirm it. We take no decisions about you on that basis.
- Your documents are not used to train our provider’s models.
- You can switch the function off when adding a cost – you then enter the data manually and the document is not sent for recognition.
10. Referral programme
If you refer Owlix to someone using your link or code, we link that person’s registration to your account – otherwise we could not credit your reward. In the panel you see a list of your referrals and their status, to the limited extent needed for settlement. The person you refer creates an account on their own terms and decides about their own data themselves.
11. Who we share data with
We do not sell personal data. We share it only with:
- Your accountant or accounting firm – on the terms in section 7.
- Freelance Factoring – only if you use factoring (section 8).
- Providers acting on our instructions and bound by data processing agreements: hosting and infrastructure (Amazon Web Services, Frankfurt region), payment processing (Mollie), sending e-mail messages from the system, the newsletter tool, the document data recognition service (section 9), the integration service for connections with accounting software (Maesn GmbH, Germany – Microsoft Azure infrastructure within the EU; only where your accounting firm switches on the transfer of documents to its accounting software), analytics tools (section 14).
- Public authorities – where required by law.
- Advisers (for example legal or accounting) – where necessary, within the limits of professional confidentiality.
Where your data is. Your account data, documents and the entire content of your records are stored in the European Union (servers in Frankfurt), and document data recognition also takes place in the EU. Only data connected with the analytics and marketing tools described in section 14 may be transferred outside the European Economic Area – in such cases we rely on the safeguards provided for by law (standard contractual clauses approved by the European Commission or an adequacy decision). You can ask us which safeguards we apply with a particular provider.

Remember your own obligation: as an entrepreneur you are required to keep your records for 7 years (10 years where real estate is involved). That is why we allow you to download your documents before deleting your account – make sure you have a copy before you ask us to delete your data.
13. Security
We protect data with technical and organisational measures. The most important of these:
- the connection to the website and the application is encrypted (HTTPS/TLS);
- data is stored in Amazon Web Services infrastructure in the Frankfurt region, in an environment that is not publicly accessible, with an application firewall and separated test and production environments;
- passwords are stored only in encrypted form (we do not know your password);
- we make regular, automated database backups;
- access by employees and contractors is limited to the necessary minimum, granted on a named basis and covered by a confidentiality undertaking;
- devices used to work with data are kept updated and secured;
- we conclude a data processing agreement with every provider that comes into contact with data.
If you suspect that your data is not properly protected or that misuse has occurred, write to info@owlix.com. We treat such reports as a priority.
14. Cookies and similar technologies
Cookies are small files stored on your device. We use three kinds:
- necessary – without them the website and application do not work (login, security, remembering settings); these do not require consent;
- analytical – they show us how you use the site so that we can improve it;
- marketing and personalisation – they allow content and advertising to be tailored and their effectiveness measured.
We place analytical and marketing cookies only after you consent, given in the cookie settings. You can change or withdraw your consent at any time: cookie settings. You can also delete or block cookies in your browser settings.
We use the following tools: Google Analytics, Google Tag Manager, Google Ads, Meta (Facebook) Pixel and Custom Audiences, Hotjar. Some of them also record events in the application (for example the fact that an account was created), which allows us to measure the effectiveness of our marketing. These tools may process IP addresses and device identifiers and transfer data outside the EEA – details in section 11.
15. Automated decision-making
Owlix does not take decisions about you based solely on automated processing that would produce legal effects or similarly significantly affect you. Automated functions in the application (for example recognising data from documents or tax calculations) are of an assisting nature – you always check and confirm the result.
An exception applies to factoring: the decision to pay out is taken by Freelance Factoring according to its own criteria and may involve automated risk assessment. You can obtain information about this and about your rights in that respect directly from the partner (section 8).
16. Your rights
At any time you can:
- see your data and receive a copy of it,
- correct data that is inaccurate or incomplete,
- delete data – unless we have to keep it because of applicable law or an ongoing contract,
- restrict processing,
- transfer your data – receive it in a commonly used format or ask us to send it to another company,
- object to processing based on our legitimate interest, including marketing,
- withdraw consent, where processing is based on it.
Send your request to info@owlix.com. We respond within one month; in complex cases we may extend this period by a further two months – we will then tell you within the first month.
To be sure the request comes from you, we normally verify the e-mail address linked to the account. Only if we have reasonable doubts about identity will we ask for additional confirmation. If you do send a copy of an identity document, cover the photograph, the document number, the BSN number and the machine-readable strip at the bottom of the document.
Complaint. If you believe we process your data unlawfully, you can lodge a complaint with the Dutch data protection authority – Autoriteit Persoonsgegevens: https://autoriteitpersoonsgegevens.nl/nl/contact-met-de-autoriteit-persoonsgegevens/tip-ons. We would be grateful if you told us first – most issues can be resolved straight away.
17. Minors
Owlix is a service for people running a business and is not directed at children. We do not knowingly process data of persons under 16 years of age without the consent of a parent or guardian. If you believe such data has nevertheless ended up in our system, write to info@owlix.com – we will delete it.
18. Changes to this policy
We may update this policy, for example when the application or the law changes. We will inform you of significant changes in advance – in the application or by e-mail. You will always find the current version, together with its effective date, on this page.
